BROADSTAIRS FOLK WEEK
CRAFT FAIR TERMS AND CONDITIONS 2012

The Broadstairs Folk Week Craft Fair is located at Victoria Gardens, Broadstairs, an open, grassed area on the seafront. There is one large marquee within the fenced off site. Pitches are available inside the marquee and outside within the fence. There is no charge to enter the site for the general public. There are an estimated 150,000 visitors to the town during Folk Week.  The Craft Fair is organised by Broadstairs Folk Week.

LIABILITY
Broadstairs Folk Week accepts no liability for any claim, compensation or refund relating to the event, their holding, curtailment or cancellation.  Any person booking a pitch will be deemed to have done so in accordance with these terms and conditions. Should the event be postponed or abandoned for any reason, no refunds will be available. The organisers reserves the right to alter the hours of operation at the event without advance notice to stallholders.

All stallholders must send a copy of valid public liability insurance policy, completed risk assessment form and a deposit with their completed application form when booking.  (If current policy not valid for 11 th – 17th  August 2012  please indicate on  booking form, the renewal date and send in the valid policy ASAP after that date).  Thanet District Council requires Broadstairs Folk Week to provide copies of these documents as part of the conditions of hiring.

NO TRADER WILL BE ALLOWED ON SITE UNLESS WE HAVE RECEIVED THE ABOVE INFORMATION AND DOCUMENTATION

PAYMENT
No applications will be accepted by telephone or fax. Only applications made on the Application Form will be considered.  A deposit of £50 must be sent in by 12th March 2012 in order to be considered for a stall.
Sending a deposit does not mean that the stallholder is guaranteed a place.

The applicant will be notified by the 23rd March 2012 if their application has been successful.

If not, the deposit will be returned.

Payment must be made in full by 30th April 2012.

NO PAYMENTS WILL BE ACCEPTED DURING FOLK WEEK ITSELF AND
POST-DATED CHEQUES WILL NOT BE ACCEPTED. NO PITCH WILL BE RESERVED OR TREATED AS ALLOCATED AND NO CONTRACT SHALL EXIST UNTIL THE STALLHOLDER HAS PAID THE CHARGES IN FULL.

If we do not hear from you by the deadlines – WE WILL NOT CHASE YOU!!!!

STALL SPACES
Broadstairs Folk Week aims to have a wide range of stalls in the Craft Fair and applications are accepted on this criteria. No Stall holder is guaranteed the sole right of selling or promoting their particular commodity or service.
Please fill in your application form with a FULL description of your stall or send additional information and photographs. Please don’t just write Craft! Application forms that do not give full information will not be considered. Please feel free to send supplementary information.

For outside stalls, stall holders are expected to supply their own covers and stands etc. Folk Week can supply table at an extra cost. The use of loud speakers and generators is strictly forbidden. No exhibit or display shall be mounted in such a way as to cause offence or danger to the public. The craft fair is open from 10am until 10pm every day – it is expected that all traders will remain open for the duration and operate their stalls in a professional manner.  Traders cannot set up for the weekend only.

IF YOU CANNOT STAY FOR THE WHOLE WEEK THEN DO NOT APPLY.
Broadstairs Folk Week reserves the right to decline, cancel or reject any application without justification.

STAND ERECTION, DISPLAY AND DISMANTLING
Access to site for set up on Friday 10th August from 0900 hours FOR OUTSIDE STALLHOLDERS ONLY.

Inside stalls can access the site between 4pm  – 7pm only.
Please respect this  - it is for Health and Safety – yours and the general public. Due to time pressure throughout the rest of the festival – WE ARE UNABLE TO  ALLOW YOU TO ENTER THE SITE ANY EARLIER. On arrival, please deposit your stock and then take the vehicle off site asap.
Space is extremely limited for vehicles.

ONLY ONE STOCK VEHICLE IS PERMITTED PER STALL ON SITE FOR UNLOADING/RESTOCKING

If you plan to arrive between 7pm and 7am on Friday, please let us know. A security guard will be on duty but will only allow those on site who have notified the festival first and bring their confirmation receipt with them.  Wristbands will then be issued by the Site Manager on Saturday morning prior to opening.

The site has been very clearly marked, please do not take up more space than you have been allotted – you will be charged extra if you do!

Daily access to the site for replenishing stalls will be between 6.30am & 8.30am only.

Dismantling the stall. Dismantling must not commence until 10.00pm Friday 17th August. Departure from the site should not commence before 11.00pm. Strictly no vehicles on site before 11.00pm.

Rubbish Penalty – Any trader who leaves rubbish behind at the end of week will be asked to pay an extra £50 if they wish to return in 2013. Take everything with you please.

PARKING
Parking is not available on site. Stallholders will be able to set up their stalls as detailed above and then vehicles that are not integral to the stall must be taken offsite. ONLY ONE STOCK VEHICLE IS PERMITTED PER STALL when unloading. Stall holders who have their vehicles on site OUTSIDE ONLY as part of their stall will be charged for camping. There is very limited availability for on-site outside camping so please apply early if you wish to be considered for this. Stallholders inside the tent cannot leave their vehicles on site.

SERVICES
Electricity – Adequate lighting is provided. If you require a power source you must indicate this on the form provided. N.B. All appliances will require a certificate to prove it has been PAT tested. The festival electrician will require sight of the certificates and has the authority to disable any appliance deemed to be unsafe.  ANYONE WITHOUT PAT CERTIFICATES WILL BE REFUSED ELECTRICAL SUPPLY.

No kettles, toasters or similar allowed in Marquee. Amplified sound systems are not allowed in the Craft Tent. Anyone plugging in illegal appliances will be banned from Craft Tent in future.

Tables can be booked at £12 each. Please tick the box on the form.
Night security guards are provided but festival cannot accept any liability for loss or damage to stands or property.  It is asked that those traders who are on site form an unofficial neighbour hood watch and make the security guard aware of concerns of issues.  Wrist Bands must be worn at all times. 

CAMPING
Please tick the box on the application form if you want to apply to camp at the Craft Fair site and include payment with your final cheque. On-site camping is only available to those outside traders whose caravan/van is an integral part of their stall. So please apply early if you wish to be considered for this.

Camping is also available at the Festival campsite, located at Upton School, Broadstairs.

The prices will be published on the festival leaflet in January 2012.

All traders will be issued with a wristband that will allow them entrance into the festival campsite for the use of the showers only.  HOWEVER THIS WILL NOT ENTITLE HOLDERS ENTRY TO FOLK WEEK EVENTS. Please note there is a no animal rule on the festival campsite – absolutely no dogs on site.
CAMPING IS NOT AVAILABLE OVER THE WEEKEND OF 18TH – 19TH AUGUST 2012
